Motor vehicle management: application from payslip data for company vehicle

With this SCR, the functions for transferring the data from the program "Payslip data for company vehicles" were sent to the customers in the program "Motor veh. vehicles". The function is not carried out yet, but only with an additional later SCR. The data are transferred, but the customers have to check and complete the data in the new motor vehicle management in Payroll because individual data cannot be transferred or deducted.

The previous motor vehicle data from the program "Payslip data for company vehicles" will be transferred to the program "Motor vehicles" including the employee assignment and will remain in the previous table for control purposes. Complete the motor vehicle data in the program PAYROLL -> Master data -> Motor vehicles. You can find many of the required motor vehicle data in the purchase or leasing contract as well as in the type and registration form. We recommend archiving these documents in the document management system.

The window "Payslip data for company flags" is visible in the program "Payroll companies". However, no data can be created, edited or deleted in this window.

In the field "Free field 01" of the motor vehicle management in Payroll, notes are written that should help the user check and complete the data. The following keywords are used for the notes:

Date of purchase and first registration: This note is set for all vehicles. The purchase and first registration dates are always set to 01.01.2026. These fields should be set to the actual values, especially when starting or ending the benefit in kind during the year.

Pool vehicles: This note is set if the "average value" was ticked in the "Payslip data for company vehicles". The average value of the purchase prices of the pool vehicles stored there is not available data for the individual pool vehicles and therefore need to be added manually.

CO2-Emissions: This note is set if the fields "Reference to purpose reduced" or/and if "Reference to purpose full" or/and "average value" were set to "Yes". Since CO2 emissions were not saved in the payslip data, a default value (120 g/km for benefit in kind is reduced here, 150 g/km for benefit in kind full and average value. These values must be corrected to the actual values according to the registration form of the vehicles. In the case of an e-motor veh, this message does not appear, that the CO2 emissions are fixed for an e-motor veh. 0 g/km and that is filled with this value.

Several vehicles: This note is set when more than one vehicle has been used by the employee in the payslip data. The data of these vehicles must be added manually. The purchase prices are taken from the payslip data, whereby it cannot be determined whether it refers to a vehicle (use of the vehicles consecutively, purchase value refers to the vehicle used on the 31.12.2026 or to the sum of several vehicles (use of several vehicles simultaneously).

abroad: In the payslip data, the payslip type was stored for company vehicles used abroad. The type of activity abroad is saved in the motor vehicle management. As the assignment is not unique, the activity abroad must be checked manually in the motor vehicle management.
